AI order processing: from a messy message to a ready order

Logistics / wholesale

Confidential 2–4 weeks on top of an existing CRM Python LLM API PostgreSQL Telegram Bot API

Challenge

Orders arrived as emails, voice-to-text messages, PDFs and photos of handwritten lists. Managers retyped them into the system by hand: slow, boring, and a steady source of wrong quantities and addresses.

Solution

We added an AI intake step to the CRM. A language model reads the incoming message or file, extracts client, items, quantities, addresses and dates, matches them against the client and product catalog, and creates a draft order. Anything uncertain is flagged — the manager sees the original next to the draft and confirms with one click. Nothing is booked without a human check; the model prepares, a person approves.

Results

Retyping mostly disappeared: managers review and confirm instead of typing. Errors are caught at the draft stage because doubtful fields are highlighted. New order formats do not need new code — the model copes with them, and the team only fixes what it flags.
